The Event Production Assistant is responsible for supporting the Programming Lead. Specific tasks include:
Coordinating with event suppliers, venue, community collaborators and security
Supporting scheduling requests, drafts of production event schedules and other logistics operations
Advancing and liaising with performing artists for organization’s festivals and arts programs
Supporting the Programming Lead and other team members in activities necessary for the organization and the success of its events
Experience coordinating and/or working at live events
Excellent attention to detail, time management skills, team player, self-starter
Demonstrable above average written and verbal communication skills, as well as interpersonal skills
Must reside in the GTA and have access to own laptop or computer
Familiarity with Google Sheets, Dropbox, Eventbrite and Google Drive an asset
Be between 15 and 30 years of age at the start of the employment;
Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment*; and,
Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
*International students are not eligible participants.

This freelance consultant contract (with opportunity for renewal) consists of project management work related to the above programs. This position supports all relevant activities of the functional groups: programming, marketing, fundraising and HR. Duties include:
Creating and updating annual milestones calendars and critical paths for all programs and functional groups
Compiling recommendations and assigning actions based on functional groups’ recommendations reports
Creating and maintaining Monday.com (project management program) boards to track team deliverables
Conducting quarterly meetings with each functional group team lead to adjust and plan project deliverables
Conducting monthly meetings with each functional group team lead to track deliverables
Monthly reporting on deliverables to the Executive Director
Creating agendas for and conducting weekly meetings
Reviewing and tracking various event day production schedules
Ensuring project, event and functional groups’ budgets are planned, executed and reconciled accurately by those responsible
Maintaining best practices & smoothly coordinating process improvements with team members as required
At least two years of relevant experience and/or a degree, diploma or certification in Project Management, Event Production, Arts Administration and Cultural Management, Nonprofit Management or a related field
Strong organizational skills and ability to self-manage and problem-solve
Excellent attention to detail, time management and initiative
Exceptional written and verbal communication skills
Familiarity with Monday.com and Google applications (Drive, Sheets etc) an asset

Part-time freelance contractor position
